A product can pass pre-shipment checking and still require after-sales support. Components wear, customers use products differently and occasional failures occur. If spare parts, diagnostic information and responsibility are discussed only after a complaint, every case becomes an urgent negotiation.

Identify likely service items

Ask which components are consumable, commonly replaced or vulnerable during transport. Request part numbers, compatibility information and storage guidance. Do not order a generic bag of parts that cannot later be matched to products or production batches.

Define the warranty process

Record the warranty period, covered events, exclusions, evidence required and available remedies in the parties' agreement. Clarify who communicates with end customers and who decides whether a failure is manufacturing, transport, installation or use related. Legal consumer obligations vary by market and require local advice.

Plan evidence without burdening the customer

Create a reasonable method for collecting model, batch, photographs, video and failure description. Ask only for information needed to investigate. Keep privacy and customer-service obligations in mind, and do not promise factory approval before the evidence has been reviewed.

Choose a replacement route

Compare free spare parts in the original shipment, consolidated replacements, local stock, repair instructions or credit arrangements. Small parts can be expensive to send one by one internationally. Agree how urgent safety-related cases will be escalated.
