A long message saying “the goods are wrong” may express the buyer's frustration but does not show the supplier which requirement failed, how many units are affected or what remedy is requested. A structured evidence file improves the discussion and helps legal, insurance or technical advisers understand the case if escalation is needed.

Start with the agreed requirement

Identify the purchase order, specification revision, approved sample, artwork or written commitment relevant to the problem. Avoid relying on expectations that were never communicated. Keep original files and messages with dates.

Record the actual condition

Photograph or video the product, packaging, labels and batch identifiers in a way that links evidence to the shipment. Count or sample affected units using a stated method. Preserve representative goods and packaging where appropriate. Do not alter evidence merely to make the comparison clearer.

Create a neutral timeline

List order approval, payments, production updates, inspections, dispatch, arrival and discovery of the problem. Separate facts, supplier statements and buyer conclusions. This makes contradictions easier to investigate and reduces argument over memory.

Ask for a defined response

State the issue, quantity known, immediate containment needed and the requested deadline for supplier analysis. Possible remedies depend on the contract, facts and law. Obtain professional advice before threatening legal action or accepting a settlement that affects rights.
