A three-letter trade term does not replace a transport plan. Buyers can quote EXW, FOB, CIF or DDP while holding different assumptions about pickup, export declarations, terminal charges, insurance, import clearance and final delivery. The named place and the chosen Incoterms edition matter, and local legal or tax advice may still be required.

Name the place precisely

A term without a named location is incomplete for practical costing. “FOB China” does not identify the port, and “DDP warehouse” does not identify the address or conditions for delivery. Ask the supplier or forwarder to state the named place and which cost estimate depends on it.

Map the handovers

Write a simple responsibility table covering factory loading, domestic pickup, export documentation, origin terminal, main transport, insurance, destination charges, import clearance, duties and final delivery. Confirm who appoints each service provider and who receives the documents needed at the next stage.

Check whether the quoted party can perform

A factory may quote a term through a forwarder without being the party that will handle every step. Ask for the proposed route and clarify who will act as exporter, importer or customs representative where applicable. Specialist obligations should be confirmed with the responsible broker, forwarder or adviser.

Compare total exposure, not only freight

A delivered quote can be convenient but difficult to compare if taxes, destination charges or delivery conditions are unclear. An EXW quote can look low while leaving the buyer to arrange several origin tasks. Compare the expected total cost, control, documentation and risk of exceptions.

Decision checklist

  • Trade term and named place
  • Incoterms edition referenced
  • Origin pickup and export handling
  • Main freight and insurance
  • Destination clearance and duties
  • Final delivery conditions and exclusions
