Cargo insurance is not a substitute for shipment evidence
Prepare packing, condition, handover and claim records so a damaged shipment can be investigated instead of relying on insurance wording alone.
Cargo insurance can transfer part of a transport risk, but a policy does not prove when or how damage occurred. A claim may require prompt notice, transport documents, commercial records, photographs and preservation of damaged goods. Requirements vary by policy and jurisdiction, so buyers should confirm them with the insurer or broker before shipment.
Understand the coverage purchased
Ask for the policy or certificate, insured party, insured value, route, coverage period, exclusions and claim contact. Do not assume that a supplier's statement “insurance included” describes all risks. Confirm whether the proposed coverage matches the cargo and the agreed trade responsibilities.
Create pre-handover condition records
Record packaging method, package count, visible condition, labels and loading where this forms part of the agreed service. For sensitive cargo, define additional packing or monitoring requirements with suitable specialists. General photographs are useful only when they can be connected to the actual packages and date.
Inspect promptly on arrival
Check external condition before accepting delivery where possible and note exceptions through the carrier's process. Photograph seals, package damage and affected goods without discarding packaging prematurely. Follow the insurer's notice deadlines and instructions; a sourcing agent should not invent claim procedures.
Keep commercial and logistics records aligned
Retain the purchase order, invoice, packing list, transport document, delivery record, correspondence and loss calculation. Separate transport damage from manufacturing defects. The evidence should support a clear timeline rather than a collection of unrelated photos.
