The goods can meet the purchase specification and still be difficult to receive or sell because the packaging is wrong. A switched size label, missing component description or outdated artwork file creates a different problem from a defect in the product itself.

In an illustrative order, a buyer approves a colourful mock-up without checking the small item code. The printer uses that file for every carton. The mock-up looked professional, but nobody owned the data check. This is a planning example, not a CHAOSHUO customer story.

Separate design approval from data approval

A designer may check appearance while a purchasing team checks quantities and a warehouse team checks receiving references. Assign responsibility for each part. Someone must confirm the actual text and numbers, not only the visual impression.

Use a packaging checklist linked to the order. Include the product code, description, size or variant, pack quantity, language and any buyer-supplied receiving references. For destination-specific mandatory information or claims, obtain an appropriate compliance review rather than assuming that a supplier's standard label is suitable.

Review the file that will actually be printed

Ask for a proof with a clear file name and revision. Check that it corresponds to the final artwork, not a lower-resolution screenshot or an earlier mock-up. Confirm where each label appears on the product, inner pack and outer carton.

  • Does every variant have the correct associated label?
  • Are text, numbers and symbols legible at the proposed print size?
  • Is important information hidden by a seam, strap or closure?
  • Are supplied barcodes or receiving codes reproduced correctly?
  • Who may authorise the print run after corrections?

If a barcode is required, arrange a scan check on an actual printed example using the intended receiving system where possible. A scan that displays a number still needs comparison with the correct product record; it does not prove that all retail or logistics requirements are met.

Look at one complete packing example

A flat artwork file cannot show whether the finished pack fits, protects the contents or presents information clearly. Request a representative packed example or suitable photographs and video, depending on the agreed scope. Identify the exact variant used for that example.

Ask what packaging substitutions are permitted if material runs short. A different box or label stock may change the fit, appearance or handling characteristics. Record when the supplier must ask before substituting.

Control corrections before they multiply

If an error appears, determine whether artwork, printed stock or packed goods are affected. Ask for the quantities in each state. Agree the correction method and responsibilities before relabelling starts, and check a corrected example before extending the work.

Do not let an urgent dispatch deadline turn an unresolved label into a silent acceptance. The buyer should receive a clear explanation of the issue and the available options.

Where CHAOSHUO can help

CHAOSHUO can help coordinate proofs, supplier questions and agreed packing examples in China. Share the product variants and your receiving requirements. We can help organise the practical checks, while specialist label compliance, brand permissions and final artwork approval remain with the responsible parties.

General purchasing guidance, not a transaction-specific legal, banking, customs or technical opinion. Examples are illustrative. Access, tasks, fees and third-party responsibilities are confirmed for each project.
