Link supplier payment milestones to evidence you can review
Structure deposit, progress and balance discussions around agreed evidence rather than vague claims that an order is nearly finished.
Payment terms allocate risk between buyer and supplier. A deposit may fund materials, while a balance payment may be requested before dispatch. The percentage alone does not create control. The buyer needs to know what milestone has been reached, what evidence is available and what remains unresolved before authorising the next payment.
Describe the milestone
Replace phrases such as “production started” or “almost complete” with an observable event. Examples might include approved pre-production material, completion of a defined quantity, finished packing, or release of agreed inspection records. The appropriate milestone depends on the product and contract; do not copy a payment schedule without understanding the transaction.
Agree useful evidence
Photographs and video can support a progress update, but they should identify the order, date, quantity and stage. For technical or high-value goods, documentary evidence may need to be combined with an independent inspection or specialist review. A coordinator should not certify performance that requires laboratory or engineering expertise.
Keep payment authority separate
The person collecting factory updates should not silently change bank details or approve payment outside the buyer's authorised process. Verify the beneficiary, invoice, contract party and change requests through established channels. The buyer or authorised finance team retains the payment decision.
Record unresolved risks
A milestone can be reached while an important issue remains open. List shortages, pending tests, packaging corrections and revised dispatch dates next to the payment request. The buyer can then decide whether to pay, hold, split or renegotiate based on the agreement and appropriate advice.
